How to reduce unpaid school fees: seven practical steps

For most private schools, unpaid fees aren’t a sign of bad faith. Parents are juggling school fees with rent and everything else, and the school that makes paying easiest often gets paid first. These seven steps help you collect more, sooner, while keeping parents on your side.

1. Send a clear invoice before term starts

Parents plan better when they know the exact amount early. Send each family an itemised invoice for the coming term, showing tuition, levies, and optional items separately, before resumption. Surprises at the gate cause most disputes.

2. Make online payment the easy option

A parent who can pay by card or bank transfer from their phone doesn’t need to take time off work to visit the bursary. Online payment through a provider such as Paystack also gives you a reference for every payment, so nobody argues about whether a transfer arrived.

3. Accept instalments, on a schedule

Agree an instalment plan with families who need one, with dates, and record each part payment against the invoice. A parent paying in three parts on time is better than a parent paying nothing until the end of term.

4. Remind early, politely, and privately

Send a reminder a week before the due date, another on the day, and a polite follow-up after. Keep reminders private, by text message or app notification, never on a class list or in a group chat.

5. Issue a receipt for every payment

A numbered receipt for every payment, whether online, cash, or transfer, protects both the parent and the school. It also stops the end-of-term scramble to prove who paid what.

6. Know your numbers every week

The owner and bursar should see invoiced, collected, and outstanding totals at any moment, and by class. If outstanding fees in one class jump, you can talk to those families before it grows.

7. Talk to families early

When a family falls behind, a private conversation in the first weeks of term usually works better than a letter at the end. Many schools keep a small discretionary budget for families going through a hard time.
